Welcome to the fifth PMI Roundtable in Mainz!

This meetup brings together professionals who manage, lead, and build – for an open, informal conversation about real-world challenges in project management. Whether you're a seasoned expert or just starting out, your perspective is truly valued.

Evening Topic: “Delegation Under Pressure: How Project Managers Share Control Without Losing It”

Delegation in real projects is rarely as simple as assigning tasks. It’s the art of transferring responsibility in a way that keeps the project moving, even when circumstances shift unexpectedly. And those shifts always come – a sudden illness, a critical escalation, overlapping priorities, or a moment when you realize you’re the single point of failure.

This evening, we invite you to explore what effective delegation really looks like in practice.
How do you empower a project manager to take over smoothly? What structures – agendas, task lists, documentation, communication patterns – need to be in place long before a crisis hits? How do you maintain oversight without slipping into micromanagement? And what does “being replaceable” actually mean for a leader?

Join us to share your stories:

• Moments when delegation saved a project
• Times when lack of delegation created unnecessary risk
• Techniques that help you hand over responsibilities quickly and confidently
• How you prepare your processes so that anyone can step in when needed

The goal is a practical exchange: learning from each other’s experiences, comparing approaches across sectors, and discovering insights that we can apply in our own projects.

The working language of the meetup is English, to include our international network. Of course, feel free to contribute in German whenever that’s more comfortable – we value clarity over formality.
